Privacy Policy
This policy describes how Port Chester Athletics LLC d/b/a Port Chester Training Club (PCTC, we, us) handles information associated with our website, inquiries, enrollment, and training services.
1. Information you provide
When you contact us, book a session, enroll, or complete participation paperwork, we may receive your name, contact details, age or date of birth, membership and booking information, attendance, transaction records, signed agreements, and messages. For youth programs, this may include parent or guardian details and information reasonably needed to provide the requested training.
You may provide an emergency contact or tell us about functional restrictions relevant to safe exercise. Please provide only what is needed; do not send complete medical records, payment card details, or other sensitive information through ordinary email. Provide someone else's information only when you are authorized to do so.
2. How information is used
We use relevant information to answer questions, arrange and deliver services, administer memberships and bookings, maintain participation and consent records, handle payments and refunds, communicate schedule or account changes, respond to safety incidents, prevent misuse, and meet legal obligations. Access should be limited to people and providers who need the information for these purposes.
3. Enrollment, payments, and service providers
Our enrollment links take you to PushPress. Information submitted there is handled through PushPress and its payment and other service providers. PCTC may receive member, booking, and transaction records needed to operate the club. This static website does not provide its own payment-card entry form.
Review PushPress's Privacy Policy before using its services. Its platforms may use cookies, analytics, and other technologies under their own notices. PCTC's website policy does not replace those notices.
We may disclose relevant information to providers assisting with hosting, communications, booking, payments, recordkeeping, and technical support; to professional advisers as needed; to emergency responders when appropriate; or when required by law or reasonably necessary to protect legal rights and safety. Promotional use of identifiable member media is addressed separately below.
4. Website connections, cookies, and analytics
The current PCTC website is hosted through GitHub Pages, loads fonts from Google Fonts and some photographs from Unsplash, and includes a Google Maps embed on the homepage. Loading these services can transmit technical information, such as an IP address, browser details, and the requested resource, to their providers. Google Maps may use cookies or similar technologies. We also use Google Analytics through the Google tag to understand website traffic and usage. Google may receive technical and usage information through this service. The current PCTC pages do not install Meta Pixel or another separate advertising pixel.
See GitHub's privacy statement and Google's privacy policy. Browser controls can restrict cookies, although some third-party features may not function as intended. Visiting a linked service, including PushPress or Instagram, is subject to that service's practices. We will update this notice and implement required controls before adding materially different tracking practices.
5. Communications and choices
We may respond to inquiries and send communications needed for requested services. Promotional email and text messages about PCTC programs, memberships, events, and offers may be sent through PushPress. Promotional text enrollment uses a separate affirmative opt-in with the disclosures applicable to the messaging program; it is not a condition of purchasing training. A participation waiver or media release does not itself provide marketing-text consent. Merely reading this policy is not consent to promotional texts, automated marketing calls, or recurring charges.
You can use an email's unsubscribe option or contact us about promotional email preferences. If you enrolled in a text-message program, reply STOP to opt out or contact us to withdraw permission. Message frequency and any message/data-rate notice will be disclosed at signup. We honor applicable opt-out requests and retain the records needed to respect your choices. Necessary service communications may continue through an appropriate channel.
PCTC may advertise through Instagram. Those advertisements may be shown and measured by Instagram or Meta under their own privacy practices. The current PCTC website does not install Meta Pixel, Google Analytics, or another separate first-party visitor-tracking script. We do not currently use a website tracking pixel to build advertising audiences from visits to pctrainingclub.com.
6. Photography, video, and audio
Identifiable promotional photography, video, or audio is governed by the express media authorization in the applicable signed participation agreement. Our adult group-class and youth Athlete Performance agreements include participation provisions and clearly identified media provisions under one signature. The youth agreement requires an authorized parent or legal guardian to sign for the identified child. Permission is not inferred from attendance, enrollment alone, or visiting this website. The signed authorization defines the permitted uses and limitations; it does not authorize recording or use of another person’s image.
You may withdraw permission for future capture and future uses by emailing us with “Media Consent Withdrawal.” After receipt and a reasonable opportunity to update our records, we will honor the withdrawal. On request, we will use reasonable efforts to remove identifiable content from channels we control. We cannot guarantee removal of previously distributed print material or copies and reposts controlled by others.
7. Facility security cameras
We use security cameras that record video and audio for facility safety, access monitoring, incident investigation, and protection of people and property. Recordings may identify members, visitors, staff, and youth athletes. Camera use is limited to appropriate entrances and shared areas; cameras must not monitor restrooms, changing areas, or other places where privacy is reasonably expected.
Security recordings are stored in cloud-based systems and are generally retained for approximately 30 days. A recording may be kept longer when reasonably necessary to investigate an incident, respond to a legal or insurance matter, comply with a preservation requirement, or protect legal rights and safety. Access is limited to authorized personnel and service providers who need it for these purposes. Recordings may also be disclosed to emergency responders, insurers, professional advisers, or authorities when appropriate and lawful.
Security-camera notice is not promotional media consent. We do not treat security footage as automatically authorized for social-media posts or advertisements. Any promotional use of identifiable footage must be within a valid, applicable media authorization.
8. Children and teen athletes
Parents or legal guardians should handle youth-program inquiries and enrollment. Children under 13 should not submit information directly through this website. Do not create a child's independent account or supply a child's mobile number unless the relevant platform permits it and the required consent process has been completed.
For youth athletes, we limit collection to information needed for the requested service, safety, administration, or another lawful purpose. We do not use youth enrollment information for behavioral advertising. Any nonessential processing of a minor's information requires the authorization applicable to that person's age and the proposed use. Promotional media featuring a minor requires appropriate parent or guardian written permission, as described in the youth agreement. That media permission does not replace any separate consent required for online processing of a minor’s information. The adult group-class form does not authorize media use of a child.
If you believe a child submitted information without required authorization, contact us so we can investigate and take appropriate steps.
9. Retention, security, and requests
We retain information for the period reasonably needed for the purposes described here, including accounting, consent records, safety documentation, legal obligations, and the establishment or defense of claims. The appropriate period can differ by record type, including records involving minors. Information no longer needed should be deleted or de-identified where practicable.
We use reasonable safeguards appropriate to the information and our operations, but no system can guarantee absolute security. Contact us to request access, correction, or deletion, or to raise a privacy concern. We may need to verify your identity or authority, and legal or recordkeeping obligations may limit a request. We will explain relevant limits and honor rights that apply under law.
10. Changes and contact
We may update this policy from time to time and will identify the effective date of the current version and provide notice of material changes as required. A revised notice does not itself authorize new uses that require separate consent. Questions and privacy requests may be directed to:
